Each story shows: what does the day look like today, what does meisterkontor do concretely, what effect remains — and, just as important, what we take on and what stays with you. The stories are model examples on established trade tools. Real impact varies per business depending on the job mix.

  1. Hairdresser

    Anna, salon owner in a small town

    Tool context: Tillhub POS + DATEV tax advisor

    Today

    Anna files the Tillhub Z-receipt into a paper folder every evening. End of month: 600+ receipts, 30 end-of-day reports, loose incoming documents. The folder goes to tax advisor Mueller — who sorts, checks and posts in DATEV. Email follow-ups, because nobody remembers what the receipt from the 14th was. Anna's own effort: around 5 hours per month. Mueller: 3 to 4 hours.

    With meisterkontor

    meisterkontor pulls from Tillhub every evening: Z-receipt, individual sales split by VAT rate, tips kept separate, card-payment fees, TSE signatures. Anna gets a short WhatsApp on Sunday: “Week done — turnover X, check it?” One click. Once a month meisterkontor hands a structured batch over to DATEV Unternehmen Online — booking records plus document PDFs. Mueller sees everything pre-sorted in her DATEV environment.

    meisterkontor takes on

    Pulling end-of-day data from Tillhub, aggregation and account tagging, weekly pre-check WhatsApp to Anna, monthly batch and document handover to DATEV Unternehmen Online.

    Stays with you or a partner

    Tillhub account and TSE hardware stay with Anna. DATEV posting, year-end and tax return stay with the tax advisor. POS setup, TSE hardware, choosing a new tax advisor go via the Tillhub direct channel or the practice itself — not via meisterkontor.

    Tillhub POS (or ready2order, Lightspeed) already active, tax advisor on DATEV Unternehmen Online.

  2. Plumbing / Heating (SHK)

    Markus, master plumber on emergency duty

    Tool context: WhatsApp intake + pds ERP

    Today

    Thursday evening 19:47: the Berger family messages the emergency mobile via WhatsApp. Markus calls back, asks about the boiler, the display, water levels — 12 minutes on a scratch pad. Drives out, fixes the issue. Writes a paper job sheet on site. Friday morning his office colleague Petra types it all into pds, writes the invoice, posts it. The family waits 4 to 6 days for the bill. Calls in the meantime: “When is it coming?” Duplicated work everywhere: WhatsApp thread sits on the phone, scratch pad on paper, job inside pds — nothing connected.

    With meisterkontor

    The Berger family writes to the business WhatsApp number “SHK Schmidt Master Trade”. meisterkontor asks in graded steps right away: what isn’t working, photo of the unit, photo of the display (if available). Matches against customer history — Berger were customers in 2023, Viessmann V200 boiler. Markus gets a push: “Emergency Berger, F4 error, likely the circulation pump. Parts suggestion attached.” He packs the right parts, drives out — one visit instead of two. On site he captures hours and material on the tablet. meisterkontor hands the completed job to pds, pulls the invoice plus e-invoice, sends it the same day. Once a month, postings and documents go structured to DATEV Unternehmen Online.

    WhatsApp intake plus photo/history match plus parts suggestion, case container, push to Markus, job handover to pds, invoice and e-invoice pull from pds, dispatch to customers (WhatsApp + mail), monthly DATEV run.

    Stays with you or a partner

    On-site work (naturally), on-site capture on the tablet, end check on each case. pds stays the source of truth for calculation, stock, job management, invoicing and e-invoicing. pds setup, training, updates run via pds or a pds implementation partner — not via meisterkontor.

  3. Painter / Decorator

    Stefan, master painter with Plancraft

    Tool context: WhatsApp + Calenso booking + Plancraft measurement

    Today

    Tuesday 18:22: Mrs Schmid asks via WhatsApp on Stefan’s private mobile. Stefan sees it the next morning, answers, calls back at noon. On-site visit a week later. At the measurement: dimensions on a notepad, photos on the phone. Weekend: Stefan types everything into Plancraft, calculates, sends the quote — 8 to 12 days after first contact. One or two times a month he sees an enquiry too late and loses it to a competitor whose quote arrived faster.

    With meisterkontor

    Mrs Schmid writes to the business number “Maler Stefan GmbH”. meisterkontor answers within seconds with a quick reply: square metres, rooms, colours? Proposal from Stefan’s Calenso calendar: three measurement slots to choose from. Slot confirmed. Stefan sees the finished case the next morning, photo included. On site he types the measurement straight into the meisterkontor case or dictates it by voice — EU-hosted speech-to-text with an approval loop before anything reaches the ERP. meisterkontor hands the data over to Plancraft. In the evening Stefan adjusts the price line and triggers the calculation. Quote with the customer 24 to 48 hours after the visit.

    meisterkontor takes on

    WhatsApp intake and triage, slot proposal from Calenso, case container with photos and context, voice-memo transcription with approval loop, measurement handover to Plancraft, quote and invoice dispatch, monthly DATEV run.

    Stays with you or a partner

    On-site measurement (naturally), price adjustments in Plancraft, end check on AI suggestions. Plancraft stays the source of truth for the measurement model, calculation, quotes, invoices, e-invoice. Plancraft setup, training and licence administration run via Plancraft or a Plancraft partner. The Calenso account is self-service.

meisterkontor is a software layer, not a setup or hardware service. POS installation, ERP training, TSE hardware setup go via the respective vendor or implementation partner — not via us.

Cross-story pattern

Asynchronous — and that is discipline, not a limitation.

DATEV Unternehmen Online is architecturally batch-oriented — documents and booking records are handed over asynchronously, not in real time. meisterkontor generates a structured monthly booking batch (DATEV format) plus the matching document PDFs and hands them via the booking data service and document transfer to the tax advisor — exactly as DATEV intends.

Anyone promising you live sync with DATEV hasn’t read the interface. Near-real-time handover is possible with Lexware Office and sevDesk — both ship modern REST APIs. Your tax advisor is part of that decision. With DATEV, the monthly structured handover is the clean route that holds under audit.

Which accounting systems does this work with?
DATEV Unternehmen Online (DUO) is our default — about 85 percent of tax advisors in Germany use it. We also connect to Lexware Office and sevDesk. Handover to DATEV is asynchronous as a monthly batch plus document PDFs; with Lexware Office and sevDesk near-real-time is possible. Different stack at your tax advisor? Just ask — we’ll tell you honestly whether and how it can be docked cleanly.
Which POS systems does this work with?
Default stack for salons and customer-facing trade: Tillhub, ready2order, Lightspeed. All three ship open REST APIs that let us pull end-of-day data, individual postings, VAT splits and TSE signatures. Other TSE registers can be checked on request. We don’t build our own POS or our own TSE — that’s a regulated field of its own and BSI-certified vendors already cover it.
Which trade ERPs are supported?
Fully integrable (bidirectional, jobs/invoices linked): pds, HERO Software, Plancraft, das-programm.io. These cloud ERPs ship documented APIs or partner-programme access. Classic ERPs without a public REST API (Label, STREIT, KWP, TAIFUN, M-SOFT, ToolTime): meisterkontor docks only at the front door — WhatsApp intake and on-site capture still work, the handover to the ERP runs via mail or file export. The effect is reduced but the intake plus DATEV layers still apply.
What about my current tool without an API?
Then we dock at the front door. WhatsApp intake, web enquiry with pre-qualification, booking arrangement — these run independently of your ERP. The structured handover into your tool happens by mail or file export. We don’t touch the job process inside your ERP. What your stack can do stays with your stack — we build the layer in front, not a parallel one next to it.
How does the voice function for tradespeople on the go work?
The tradesperson sends a WhatsApp voice message: measurement, booking change, note, customer message. meisterkontor uses EU-hosted speech-to-text with data residency in West or North Europe. The transcript is classified (measurement vs booking vs note), and meisterkontor asks back via WhatsApp quick reply when something is unclear. Only after your confirmation does the action go to the ERP or to a customer. Trade-specific vocabulary (painter terms, plumbing parts, salon treatments) is maintained per trade to keep accuracy high.
Do I need my own WhatsApp Business account?
No. You get your own WhatsApp Business number branded with your business name (“Maler Stefan GmbH”, “SHK Schmidt Master Trade”, “Salon Anna”) — not a generic shared number. meisterkontor manages access to the WhatsApp Business API via a partner provider, as a service layer. You don’t sign a separate provider contract or run your own Meta Business Manager. Service conversations started by the customer and answered within 24 hours have been free of charge since November 2024 — only status templates (reminder, confirmation) cost a few cents per conversation.

How we arrive at the figures.

The effect figures we quote — hours saved per month, response times, additional jobs per month — are based on trade experience, vendor-published benchmarks and early customer conversations. They vary significantly per business depending on job mix, tool setup and digital maturity. We deliberately quote only the lower bound (low range) and no mid or optimistic values. With pilot customers we sharpen the numbers case by case — until then it’s an honest estimate, not a promise.
